Coordination processes between the project and the line are often long and difficult. Particularly when the project manager requests personnel from the individual departments for his task, staff planning often leads to the question of employee availability in the departments, or whether they are already being used to full capacity in their line activities or the current projects to which they have been allocated. With the Staffer®, Can Do project management software now bridges the gap between the project and the line by significantly improving the coordination process between their respective managers.

Live management: integrated staff planning
With the Staffer® which is available starting from Can Do project intelligence Version 4.4, department heads and line managers receive a detailed overview of the current utilization of their section and employees, regardless of whether project work or professional activity within the department is involved. The Staffer® also shows all projects, project phases and work packages for which the employees of a department, or the department itself, have already been scheduled. Employee availability together with all project staff requests is listed likewise in the tabular overview. The planning software indicates accordingly whether employee capacity is already overstretched. Based on this overview of available, planned and requested capacities, the line manager can address requests for staff from the project managers. The Staffer® provides him with a reliable basis for his decision, e.g. how many and which employees he can allocate to the respective projects. As soon as he allocates an employee to a work package, the overview as well as the project plan is adjusted to reflect this change. By doing this the line manager can freely select the timeframe to be taken into account, for example carrying out his staff allocations on a quarterly basis.

It goes without saying that the project management software provides all information in real-time, i.e. live. Changes to project plans that affect the department manager’s team capacity are thus shown immediately. Overloads arising through projects not coordinated with the department or with one another can be significantly reduced using the Staffer®.

Can Do’s project intelligence planning remains essentially unchanged for the project manager. Depending on the rights model selected, he either requests specific employees or enquires about department availability for his project. It is then the responsibility of the line manager to address these requests.

With Version 4.4, Can Do offers the opportunity to plan, guide and monitor line organization activities and project-oriented work using a single tool. Can Do project intelligence 4.4 is currently undergoing intensive customer testing and should be rolled out successively by the end of September 2012.
